App Privacy Policy
The World Scout MOOT 2025 Android and iOS applications collect and process the personal data of attendees under the General Data Protection Regulation (GDPR) to enhance their experience at the World Scout Moot event. Use of the app is optional but recommended for attendees to receive notifications and additional information before and during the event.
In addition, the World Scout MOOT 2025 App follows and complies with the data protection and privacy policy covering the entire World Scout MOOT 2025 event.
Data controller and processor
The Controller for the World Scout MOOT 2025 event as a whole, including the World Scout MOOT 2025 app, is “Associação MOOT 2025”.
Data will be processed for the app by Associação MOOT 2025, a legal entity including the members of the World Scout MOOT 2025 organisation team who are developing the app.
Data collection and processing
The World Scout MOOT 2025 app will make use of a limited amount of personal data from your World Scout MOOT registration to allow registration on and personalisation of the app. The personal data that will be collected and processed includes:
- Your name
- Your date of birth
- Your assigned path
- Your country
- Your contingent
- Your World Scout MOOT role
- Your registration number
- Your dietary and medical needs
- Your check-ins and check-outs from event venues
In addition, as part of your participation and to enhance your experience, you may optionally choose to provide the following data which will be stored and processed by the app:
- Your location
- World Scout MOOT activity and programme preferences
- World Scout MOOT Messages and communications
Data is collected and processed solely for the benefit of the World Scout MOOT attendee and based on individual consent, within the reasonable expectations of the attendee to fulfil their World Scout MOOT 2025 participation. No other data processing, such as profiling or other marketing or analytical activities is performed.
Data storage
All personal data collected will be stored on the app on the attendee’s own device or on the World Scout MOOT infrastructure on both the World Scout MOOT Azure and the World Scout MOOT Firebase cloud platforms. All information is stored in encrypted form and with appropriate security policies and procedures in place to prevent any unauthorised access. No data will be stored or processed in any other locations.
Data lifespan
All collected data will be stored only for the duration of the event and up to six months following the conclusion of the event, except for anonymised data to aid in future evaluation and analysis and the use of the app and selected shared media which will continue to be held as part of an archive of the event.
Data Sharing
Data collected within the app may be shared within the World Scout MOOT team and your contingent, as listed below:
- World Scout MOOT 2025 Planning Team
- Federação Escutista de Portugal
- World Organisation of the Scout Movement (WOSM)
- The relevant Scouting / Guiding organisation for your contingent
No personal data will be shared with any other third parties, except if the Data Controller is legally required to do so.
Your rights
- Right to be informed: You are informed of all data collection and data usage, directly on the website and through this policy.
- Right of access: All your personal data is accessible directly from the World Scout MOOT 2025 App. At any time, you can request to know what personal data the World Scout MOOT 2025 holds about you.
- The right to rectification: Any inaccurate information can be corrected by contacting the World Scout MOOT team.
- The right to erasure: A request can be made to remove all personal data that we hold on you once you are no longer an active World Scout MOOT attendee. This will also be done automatically after the closure of the event, see Data Lifespan.
- The right to restrict processing: If you have specific requests and limits on the way your data is processed, this can be requested and implemented under certain circumstances.
- The right to data portability: If you wish to move your World Scout MOOT data to another service or provider in an exportable format, this can be arranged via request.
- The right to object: If there are any forms of processing to which you object which is not a required part of World Scout MOOT 2025 participation, this can be raised via request.
